Rename person
You can rename a user with the Administration Process by choosing People - Rename from the tools pane of the Domino Administrator. The following flowchart shows the sequence of Administration Process requests that occur when you rename a person in the Domino Directory. (Boxes represent requests.) The timing shown for each request is the default, which you can customize through the Server Tasks - Administration Process section of the Server document.

Move person's name in hierarchy


    Triggered by: Choosing Actions - Rename Person then Request Move to New Certifier in the Domino Directory or by choosing People - Rename from the tools pane of the Domino Administrator.

    Carried out on: The server from which you choose Actions - Complete Move.

    Carried out: When you choose Actions - Complete Move, in the Name Move Requests view of the Administration Requests database, to move a person's name to another hierarchy.

    Result: Approves the move and triggers the "Initiate rename in Domino Directory" request.


Initiate rename in Domino Directory

    Triggered by: Choosing a rename action.

    Carried out on: The administration server for the Domino Directory.

    Carried out: According to the "Interval" setting for the Administration Process in the Server document.

    Result: Adds the new name, certificate, and change request to the user's Person document. Prompts the user to accept the new name upon next server authentication.

    Note By default, the new name is accepted automatically upon next server authentication.


Rename person in Domino Directory

    Triggered by: Person accessing a server and accepting the new name.

    Carried out on: The administration server for the Domino Directory.

    Carried out: According to the "Interval" setting for the Administration Process in the Server document.

    Result: Updates the person's name in the Domino Directory -- except for Person documents other than those belonging to the user. Posts the "Rename in Person documents" and the "Rename person in Unread Lists" administration requests.


Rename in Person documents

    Triggered by: Completion of the "Rename person in Domino Directory" request.

    Carried out on: The administration server for the Domino Directory.

    Carried out: According to the "Execute once a day requests at" setting for the Administration Process in the Server document.

    Result: Updates the user's name if it appears in Domino Directory Person documents. For example, if the user is an administrator, the name may appear in the Owner or Administrator field of another user's Person document.


Rename person in unread list

    Triggered by: Completion of the "Rename person in Domino Directory" request.

    Carried out on: Each server in the domain.

    Carried out: According to the "Execute once a day requests at" setting for the Administration Process in the Server document.

    Result: Each server in the domain examines every database on the server and updates the person's name in any unread lists.


Rename in Access Control List

    Triggered by: Completion of the "Rename person in Domino Directory" request.

    Carried out on: Each server in the domain.

    Carried out: According to the "Interval" setting for the Administration Process in the Server document.

    Result: Each server in the domain updates the person's name in ACLs of databases for which it is an administration server. In Domino 6 only, also updates the name in shared folders, views, agents and forms.


Rename in Design Elements

    Triggered by: Completion of the "Rename in Access Control Lists" request on the administration server for the Domino Directory.

    Carried out on: Each server in the domain.

    Carried out: According to the "Delayed Request Settings" on the Server Tasks -- Administration Process tab in the Server document.

    Result: Each server in the domain updates the person's name is in shared Design Elements of databases for which it is an administration server. Private design elements are not renamed.


Rename person in Free Time Database

    Triggered by: Completion of the "Rename person in Domino Directory" request.

    Carried out on: The person's home server.

    Carried out: Immediately

    Result: The person's name is changed in the Calendaring and Scheduling Free Time Database.


Rename person in calendar entries and profiles in mail file

    Triggered by: Completion of the "Rename person in Free Time Database" request.

    Carried out on: The person's home server.

    Carried out: Immediately

    Result: The person's name is changed in their mail file's Calendar Profile and appointment documents. If the person's common name was changed and the common name is in the title of the mail file, the mail file title changes to reflect the new name. If the person is the "chair person" of any future meetings, the name is changed in those appointment documents.


Rename in Reader / Author Fields

    Triggered by: Completion of the "Rename in Person documents" request on the administration server for the Domino Directory.

    Carried out on: Each server in the domain.

    Carried out: According to the "Delayed Request" setting for the Administration Process in the Server document.

    Result: Each server in the domain updates the person's name in Reader / Author fields of databases for which it is an administration server and that have the advanced ACL option "Modify all Reader / Author fields" selected.


Delete Obsolete Change Requests

    Triggered by: Expiration of the period in which a person can accept a new name, by default 21 days. When you rename the person, you can change the expiration period.

    Carried out on: The administration server for the Domino Directory.

    Carried out: According to the "Execute once a day requests at" setting for the Administration Process in the Server document.

    Result: The Administration Process deletes the word "Pending" from the Change Request field from the Person document.

* If the Notes user being renamed is running a Notes client version that is pre-Notes 6.0, the user must accept the name change as explained here. Before the Administration Process carries out a rename person request, the user whose name is being changed is prompted to accept the name change. If the user does not accept the name change within a specified period of time, or grace period, the name change request becomes an Obsolete Name Change and is entered in the Administration Requests database as a Delete Obsolete Name Change request.

If the Domino server and the Notes client are both Notes Domino 6.0 or more recent, the user is not prompted to accept the name change, unless the user has requested to be prompted to accept. (To be prompted to accept a name change, the user must set that preference using the Security settings in the Notes client.

Is it possible to use multiple internet addresses for a database residing on the server?

Yes, multiple internet addresses can be used for a single database or mail file residing on the Domino server. In order to use multiple internet addresses, each internet address requires it's own Person Document. Each Person Document will contain each of the unique internet addresses to be used. The fields to be concerned with are the "Internet Address" and "Mail File" fields. Because the Person Document is simply a "pointer", the first name, last name, short name are not important.

For example:

You have three internet addresses (joe1@domain.com, joe2@domain.com, & joe3@domain.com) that you would like to associate with a database (test.nsf). Create three separate person documents and populate each of the unique internet addresses into the Person Document's "Internet Address" field. Ensure that each of the Person Document's "Mail File" fields point to the same database (test.nsf). Now that the key part of the process is complete, you can assign any first and last name you wish to each of the person documents.

Once complete, when you send a message to joe1@domain.com, joe2@domain.com, and joe3@domain.com, they will all be delivered to the same database.

How to re-create the Busytime.nsf or Clubusy.nsf file on a Domino Server

The Busytime.nsf file is the Free Time database on a non-clustered server. To rename the Busytime.nsf file do the following:

1. If possible, map a drive or FTP to the Domino Server's \Data directory.
2. From the Domino Administrator open the live console.
3. Issue the following commands:

tell sched q
tell calconn q
tell RnRMgr q <---- Note: This command is for the Domino 7.x server only
dbcache flush

Note: Several "dbcache flush" commands may be required, depending on the OS and the server's load.

4. On the Domino Server's \Data directory locate Busytime.nsf and rename it to something else, such as Busytime.old. Then move it out of any data or any reference to a database or directory link. DO NOT leave the renamed copy in the Domino server's data directory hierarchy.

Note: DO NOT leave the renamed copy in the Domino server's \Data directory hierarchy or you may encounter unexpected results.


5. Issue the following commands:

load sched
load calconn
load RnRMgr <---- Note: This command is for the Domino 7.x server only

How To Re-create Clubusy.nsf File (applies to Domino 5.x, 6.x, and 7.x Servers only):

The Clubusy.nsf file is the Free Time database on a clustered server. To re-create (or restore) the Clubusy database, do the following:

Note: This process must be done to all servers in the cluster to avoid the replication of Clubusy.

1. If possible, map a drive or FTP to the Domino Server's \Data directory.
2. From the Domino Administrator client open the live console.
3. Shut down the Sched and Calconn tasks on all clusters and flush the database cache.
    tell sched q
    tell calconn q
    tell RnRMgr q <---- Note: This command is for the Domino 7.x server only dbcache flush
    Note: Several "dbcache flush" commands may be required, depending on the OS and the server's load.

    Important Note: Steps 3 and 4 MUST be done on ALL clustermates BEFORE Step 5 is performed on ANY server. Otherwise, old data may be added back into the Clubusy database invalidating what you are trying to do. If you do not do this correctly, you will have to restart the recreation process for Clubusy.nsf (steps 1 - 4) all over again.

5. Issue the following commands on all clustermates:

How to get disappeared mail rules?

MailRule documents often disappear from the Tools->Rules view. This can happen after upgrading MailFiles from one Lotus Notes Domino release to a newer version or while replacing the structure of a MailFile. How to make Mail Rule documents visible again?

1. Go to the Lotus Notes Welcome page (Bookmark.nsf).
2. Press Ctrl/Shift and click on Mail to open your MailFile and all hidden views.
Open one of the view's names, for example: ($VIMxxx).
3. In the mail menu, go to View -> Search this view.
4. In the Search for field, enter the following query:
Field Form = "mailrule"
5. Click Search.
All MailRule documents that had disappeared should reappear.
6. Double-click on each document to open them.
7. Double-click on any opened document to place it in "Edit" mode.
8. Press Esc to close the document.
9. Click Accept to save the document.

All missing MailFile documents should appear in your Tools ->Rules view.

Error: "Lotus Notes: Error 0x1A5" when trying to start the Domino server

While starting the domino server you receive following error.
"Lotus Notes: Error 0x1A5"
Cause
The "Directory=" parameter may be missing from your notes.ini file. The value of this parameter should be set to the path of the data directory on your server.
Answer
Use the following steps to set the "Directory=" parameter in your notes.ini file:
1. Open the server's notes.ini
2. Under the "NotesProgram=" line, add "Directory=" ; for example Directory=D:\Lotus\Domino\Data.
3. Save and close the notes.ini file and start the Domino server.

Make sure that you don't have multiple notes.ini files.

Notes Indirect files

You can use an indirect file to specify one or more databases to compact, to rebuild views, or to fix corrupted views and documents . An indirect file is a text file that lists database file names or directory names and that you can specify for the compact, updall, or fixup task on the Domino console command line. The indirect file allows you to specify more than one database on the command line.

How to create aNotes the indirect file

1. Use a text editor, such as Notepad, to create the text file.

2. List the files names of the databases in the Data directory that you want to fixup, compact, or rebuild. If the databases reside in a subdirectory of the Data directory, specify the directory and the database file name. If you want to fixup, compact, or rebuild all databases in a subdirectory, specify only the directory name.

3. Save the file with the file extension IND.

To specify the indirect file for the fixup, compact, or updall task

1. At the Domino server console, enter one of the following commands and the indirect file name:

      • To run fixup, enter:
    load fixup filename.ind
    Note On a Windows NT system, enter nfixup.exe filename.ind.
      • To run updall, enter:
    load updall filename.ind
      • To run compact, enter:
    load compact filename.ind

Error "File already exists" when launching the Notes client

Problem

While lunching lotus Notes User is getting this error "File already exists"
and the customer cannot access it. The status bar indicates a consistency check is being performed on the bookmark.nsf.

Reason

In this case, the bookmark.nsf file was corrupt. When Notes tried to create a new bookmark.nsf, the operating system would not allow it because the file already existed.

How to solve the problem

Delete or rename the bookmark.nsf and launch the client to allow it to create a new bookmark.nsf file.

Lost Lotus Notes User ID or Password

You might find yourself in a situation where a Lotus Notes user ID has been lost or corrupted and no backup is available, or a user has forgotten his/her password.

In both case the result is the same: the user ID is unusable, and, as there is no backup, you must create a new one in order to restore the user’s access to resources.

You must register the user again. That way, a new user ID will be issued. This new ID will give access to the mail file.

You need administrator access to the Domino server on which the user is registered to do that.

1- On the server, open the Lotus Domino directory (where all users are registered), open the missing ID person information sheet.

Here, you need to take a backup of a few data. Print the missing ID person information sheet for reference. Also, copy the Internet Password (encrypted version) of this person and paste it to a text document.

2- Start the registration process. Register a new person with exactly the same first name, middle name and last name (check with the printed person information sheet). Take care of the following points:

- Basic tab: Same first name, middle name and last name. Same registration server. Check “create a notes id for this person”. Mail system: none.

- ID info tab: security setting = international.

-Make sure to create a notes ID on the server and/or in a specified folder.

3- Register the person. Answer “yes” when asked if you want to update the person information.

4- Once the person has been registered, go to the person information sheet in the domino directory. There, change the mail system from “None” to “Notes”. Check with the printed version of the person’s information sheet, and confirm that all user parameters are the same as before. Copy the Internet Password (encrypted version) back to the user information sheet from the text document you copied it to.

5- Done. A new user ID has been produced, and the user can use it to authenticate and access resources.

How to compact Domino directory (names.nsf) and Administration Request (admin4.nsf) database?


1. Ensure that the program directory is in your system path. If you don't have a system path entry for Louts Domino you can add a path entry. Example C:\lotus\domino (if you modify the path, you will need to reboot your server)

How to change the Program directory in system path?

Right click on my computer => Properties => Advanced

Click on environment variables.

Confirm that there is an entry for the path of lotus program directory. Or you can add the path by clicking on edit button. After entering path reboot the system.

2. Ensure that the notes.ini for the partitioned notes servers is in the relevant data directories.

3. Make sure that you don't have any other notes.ini files hanging around especially in the program directory. (Check for the notes.ini file in the program directory. Make sure that the there is only one notes.ini in the data directory. Delete if you have extra notes.ini file.)

4. You will need to run the command lines from the data directories not from the program directory.

Example:

Suppose your data directory is in E: drive

Go to command prompt. Change the directory to e:\louts\domino\data

And enter the command for compacting

Ncompact names.nsf
